What an ATS actually does before a recruiter opens the resume
An ATS does not judge a resume, it turns it into structured data: it extracts the raw text, splits it into fields (contact details, experience, education, skills), then indexes those fields for the keyword search the recruiter runs.
Recruiters almost never read every resume in full on the first pass. They query the database with searches like “React AND Docker” or “5 years AND project management”, and the ATS ranks profiles by what it managed to index. A candidate with the right experience but badly recognised dates drops down that ranking, even when the role is a perfect match.
The file format that survives parsing intact
Native text PDF and DOCX both pass parsing in modern ATS engines. What makes a file fail is not the extension but its contents: a scanned image, a PDF exported from a graphic design tool that flattens the text, or an exotic embedded font the parser cannot decode.
To check that a PDF really is native text, try selecting and copying a paragraph in the reader: if the text selects cleanly, the ATS can extract it too. DOCX remains the safest choice when in doubt, because the majority of parsing engines were built to read Word documents first.
Standard section headings, not creative ones
An ATS identifies the sections of a resume from a narrow list of expected headings. “My journey” or “What I bring” trigger no recognised field, whereas “Work Experience”, “Education” and “Skills” do so consistently.
Those headings also need to stay as plain text — never inside a table, a text box, or the document header. Many parsers ignore the contents of headers and footers outright, which makes the name and contact details disappear when they are placed there for the sake of appearance.
Matching the posting’s keywords without stuffing
Keyword matching works by string matching, not by understanding meaning. If the posting asks for “Agile project management” and the resume only says “team coordination”, the ATS does not make the connection on its own.
Good practice: reuse the posting’s exact terminology, write acronyms in both forms (“AI (artificial intelligence)”), and place each keyword in real context rather than in an isolated list. Repeating a term ten times in white text or in the margin is flagged as stuffing by modern engines and penalises the resume instead of lifting it.

The layout traps that break extraction
Layout breaks parsing before content does. Multiple columns, tables, text boxes, headers and footers, and skill-level icons all cause entire fields to be lost or scrambled on a significant share of the ATS engines still in service.
- Columns: the parser reads top to bottom and left to right, so a two-column layout interleaves the text of both blocks in an incoherent order.
- Tables: dates or company names placed in a cell are sometimes read out of context, detached from the role they belong to.
- Text boxes: some parsers do not read them at all, and the content simply disappears from the extracted text.
- Skill icons (stars, proficiency bars): with no text equivalent, the ATS cannot determine the value being represented.
