What an ATS resume tool actually checks

Everything sold as an ATS resume tool does one of three jobs, and most products do two of them badly and one of them well. Knowing which job you need takes the shopping down to two or three names.

• An extraction check converts your file to plain text the way a parser does and shows you what came out. This is the only one that can catch a silent failure, such as a two-column layout that interleaves your skills into a job description, or a PDF exported as an image that yields no text at all.
• A match report compares your wording against one posting and lists the skills, tools and titles it did not find. It answers a different question: do the words a recruiter will search for appear on your page.
• A rewrite changes the content before you send it, using the posting as the brief. It is the only one of the three that can also invent something, which is why the review step matters.

The scores are where the category misleads. Three different numbers get called an ATS score, and only one of them exists inside a hiring system. A resume score out of 100 comes from the vendor's own writing rules. A match rate comes from the vendor too, computed against the posting you pasted. The label a recruiter actually sees comes from criteria that recruiter weighted, in their own software.

Greenhouse's auto-reject help page, updated 30 January 2026, says automatic rejection is triggered only by a candidate's answer to a yes/no, single-select or multi-select question a recruiter set up as a rule, such as work authorisation. Its Talent Matching FAQ, updated 3 September 2026, sorts applicants from Strong to Limited against criteria the recruiter weighted, counts related terms toward the same skill, and advances or rejects nobody on its own.    • A tracker, a builder, a LinkedIn tool and a cover letter generator sit in the same account, so the scan is not the whole product.

   Worth knowing
