How to write a customer service representative resume

Give the channel mix and the volume. 'Customer support' tells a hiring manager nothing; 'phone, chat and email, around 70 contacts a day, 12-agent team' tells them what you are used to and whether their queue will shock you.

Name the helpdesk product. Zendesk, Freshdesk, Intercom and Salesforce Service Cloud are screened as literal strings, and 'ticketing system experience' matches none of them.

Turn the soft skills into incidents. Instead of 'excellent de-escalation skills', describe the escalation queue you owned and what you were authorised to resolve. The authority you held is the real signal.

If the role is bilingual, state the language and the level, and say whether you supported customers in it or only read it.

Why customer service representative applications get screened out

These are the failures specific to this role: the ones a generic CV guide will not warn you about.

  • No contact volume or channel mix anywhere, so the screener cannot tell whether you handled 15 emails a day or 120 calls.
  • Helpdesk described generically as a 'ticketing system' instead of the named product the posting screens for.
  • No quality metric at all (CSAT, first contact resolution, QA score, handle time) in a function where every one of them is measured.
  • Soft skills asserted as adjectives with no incident behind them, which is the single most common pattern in support applications and the easiest to discount.
  • Language listed without a level when the posting is for a specific language queue.
  • Shift availability omitted for a role that clearly runs evenings, weekends or a 24 hour rota, which stalls the application at the first recruiter call.

What drives pay for this role

Support pay separates on complexity rather than volume. The levers that move it: the tier you work at (front-line intake sits below technical or escalation tiers), whether the product is technical enough to require troubleshooting rather than script following, the sector (B2B software, fintech and medical support generally price above retail and hospitality), shift differentials for evenings, weekends and overnight coverage, and additional languages where the employer needs coverage in them. Whether the role is in-house or with an outsourced provider also matters, and the two often differ more than the job description suggests.

Should I put my CSAT on the resume if the number is only average?
Put it on with its context. A 91% CSAT next to a team average of 89% is a good number. A bare 91% invites the reader to assume the worst. If the score genuinely is below the team, lead with a different measure you did hold, such as first contact resolution or QA pass rate, rather than leaving the quality section blank.
How do I write this resume with no formal support experience?
Retail, hospitality and reception work translate directly if you describe them in support vocabulary. Customers served per shift, complaints resolved on the spot, refunds you were authorised to issue, systems you used for orders and stock. The skills transfer; the words on the page are what stop the match.
Does call centre experience transfer to a software support role?
Partly, and the gap is technical rather than behavioural. Queue discipline, de-escalation and handle time all transfer. What a software team also wants is evidence you can reproduce a problem, read a log or an error message, and write a clear internal handover to engineering. Put any of that on the page if you have it, even from an informal capacity.
Should I list the languages I speak?
Yes, with a level and a context. 'Spanish, professional working proficiency, handled the Spanish chat queue' is worth far more than 'Spanish' on its own, and it protects you from an interview conducted in a language you only read.
